AI Processing

Several features in Playbook Memories are powered by AI. When you use them, the content below is sent to the provider listed, processed, and returned to the app. This is not limited to voice recordings — typed notes, reflections and game data are processed too.

• Voice reflections and post-game audio: the audio recording is sent to Groq to be transcribed into text. The resulting transcript is then sent to Google (Gemini) to pull out stats, mood and highlights.
• Practice skill tags: the transcript of a practice reflection and the sport are sent to Google (Gemini) to suggest skill tags.
• Weekly insights: figures drawn from a season's logged events, plus the athlete's first name, are sent to Google (Gemini) to write the weekly digest.
• Memory book suggestions: event details and notes from a season are sent to Google (Gemini) to write memory book narrative text and suggest what to include.
• Post-game encouragement: the game result, score, stats, mood and energy rating, practice focus, sport and the athlete's first name are sent to Google (Gemini) to write an encouraging message. If Google is unavailable, the same information is sent to Groq instead.

Photos and videos are not sent to these AI providers.

This applies to content created by a child using a player login as well. If your child records a voice reflection or logs a game, that content is processed by the providers named above in exactly the same way. We do not use your family's content — or your child's — to train AI models.

Athlete Birth Dates

A birth date is optional. Playbook Memories uses it to work out age groups and to check eligibility for certain badges. If you do not enter one, the athlete simply has no birth date on file.

Birth dates are stored apart from the rest of the athlete profile and are readable only by members of the account that owns the athlete. They are not shown to followers, to other families, to members of a team your family has joined, or on the public discover feed, and they are not included in any AI processing.

Changing or removing a birth date: an account owner or parent can correct a birth date at any time in the app. At present the app does not offer a way to clear a birth date once it has been entered, and there is no way to delete a single athlete on their own — deleting the account removes all of it. If you want a birth date removed without deleting your account, email us at support@playbookmemories.com and we will remove it for you.

Children's Privacy

Playbook Memories is a youth sports app, so children do use it. This section explains exactly how, what we collect from them, and what you as a parent can control.

Accounts vs. player logins

The account is owned by an adult. You must be at least 18 years old to create an account, and only an account owner can add athletes, invite people, change settings, or delete the account.

A player login is a separate username and password that you create for your own child so they can sign in and take part. A child cannot create one for themselves: creating a player login requires you to be signed in as the owner of the account that the athlete belongs to, and the credential is created on our servers only after that check passes. There is no way for a child to create a player login — for themselves or for anyone else.

Creating a player login for your child is how you give consent for them to use the app and for us to collect the information below from them. You can withdraw it at any time by revoking the login.

What a player login collects

When your child is signed in with a player login, they can create content in the app, and we collect it. Specifically, they can:

• View their own athlete profile, stats and season history.
• Log games and practices — including scores, stats, notes, and voice reflections they record.
• Upload photos and videos.
• Read and post messages in their family or team thread.
• Manage their own seasons.
• Contribute content to a memory book.
• View the team roster — which means they can see other children on the team, including their names, photos and jersey numbers.
• Nominate teammates for badges — which names another child.

A child using a player login cannot edit their own profile (parents do that), invite anyone, change account settings, remove members, join a team, see or manage another family's athlete data, or delete your account. These limits are enforced on our servers, not merely hidden in the app.

Posting to the public feed

A child using a player login cannot publish anything to the public discover feed. Publishing publicly is an adult decision: on a family account only the account owner or a parent can do it, and on a team account only the owner, team manager or a coach. This is enforced on our servers, so it holds regardless of what any version of the app shows.

What you can control

• Create a player login for your child, choosing the username and password yourself.
• Reset the password at any time.
• Revoke the login at any time. This deletes the child's sign-in credential so they can no longer sign in. The athlete's profile and season history are kept for your family.
• Edit your child's athlete profile. Their profile is read-only to them — only a parent or account owner can change it.
• Delete the account, which removes all athlete data along with it (see Deleting Your Account and Data).

Note that revoking a player login does not immediately end a session your child is already signed into; access ends when that session expires or they sign out.

If you would like to review the information we hold about your child, have it deleted, or withdraw your consent to us collecting it, contact us at support@playbookmemories.com and we will action it. If you believe a child has created an account without a parent or guardian, contact us at the same address and we will remove it.

Deleting Your Account and Data

You can delete your account at any time. There are two ways — the first happens immediately, the second is a request we action for you:

• In the app: go to Profile → Delete Account / Data. This runs immediately — your sign-in is removed as soon as it completes, and it cannot be undone.
• By email: send a request to support@playbookmemories.com from the email address on your account.

If you are the only person on your account, deletion removes the account and everything in it — athlete profiles and birth dates, events, photos, videos, voice recordings, messages, and any player logins you created for your children.

If other people share your account — a second parent, a grandparent, or your child's player login — the account and its contents are kept so they do not lose their family's season. What is removed is your own sign-in and your personal information, and your name is detached from the content you added. If you want the whole family account and its athlete data deleted, every member must delete, or you can email us and ask us to remove it outright.

Either way, we finish removing your personal data within 30 days, except for records we are required by law to retain.

There is no partial deletion of your data. Whichever of the two cases above applies to you, the app does not offer a way to delete a single athlete, or a single field such as a birth date, and keep the rest. To remove your child's access without deleting anything, revoke their player login instead (see Children's Privacy). For anything narrower, email support@playbookmemories.com.
